4.5.31 - Advorto release notes - Roll-out December 2016

This release is focused primarily on some awesome new location-based searching and mapping functionality, including geo-coding of the location of vacancies and candidates to allow distance based searching, as well as some huge improvements to searching generally. Other than this, we have the usual plethora of other minor enhancements and updates for you. See the PDF attached at the end of this article for a downloadable version of these release notes.

Summary of new location-based searching and map features
This release includes a number of new features associated with geo-location of vacancies and candidates in both the Candidate portal and the Backoffice. The new functionality includes the following and this may be turned on for any client who requires it (speak to your account manager):

  • Assign exact location data to each location in your location list via a simple location/address look-up (classifier self-service) + see your location instantly on a map to confirm it is correct 
  • Enable a map view of your vacancies in the candidate portal, with toggle to switch between list view and map view 
  • Map markers which show the same vacancy data that is available in the list view when clicked - click through to view vacancy details 
  • Map marker groupings, with numbers indicating the number of vacancies in the same location 
  • New location search functionality, with current location detection and distance from calculations, to show candidates the vacancies nearest to them 
  • Display a map on the vacancy details page, indicating the location of the vacancy to candidates 
  • Multiple locations for a single vacancy supported (distance calculations will show the distance to the location which is nearest to the candidate) 
  • Capture exact location data of candidates, based on their address
  • Switch the Candidate or People list in the Backoffice to map mode to see people on a map
  • New unified talent pool search and Invite candidate(s) to vacancy functionality
  • One click to find candidates for a vacancy in your talent pools from the vacancy page
  • New advanced search filtering in the left menu (folder bar)

Assign geo-codes to your locations
In order to make use of the new vacancy mapping and distance-based searching functionality, clients will need to assign an exact location to each location classifier option for the vacancy classifier assigned as your location-based search classifier.

When editing a location classifier or adding new options via the classifier self-service functionality - Settings > Manage classifiers (Super users only), you will now see a new location/address look-up feature, which will allow you to look up a location and see it on a map to confirm that your map pin will be in the correct place for candidates viewing vacancies on a map. See Fig. 1 above.

If you do not see the location search functionality when editing or adding to your location classifiers, this means that the classifier you are editing is not yet configured for this purpose. Please raise a change request with the Support team if you want to use this new functionality.

New unified talent pool search and improved vacancy-based talent pool search feature
Right click on a vacancy and select the Search option to be taken directly to a list of people in your talent pool relevant for that vacancy. People in all talent pools (Talent bank, Speculative applications, Job alerts, Candidates in pipeline, etc.) searchable in one search. Tweak your search parameters on the page using the new searching/filtering section in the folder bar and see results immediately, without needing to go back to the Search page. See Fig. 6 above.

New super simple invite to vacancy feature
After finding candidates in a talent pool search, invite individual candidates or invite candidates in bulk to apply to the vacancy (see Fig. 6 above). Invites and emails sent logged in the Person's audit trail and in the audit trail of the vacancy they were invited to.

New email type to allow people to be emailed about vacancies
Set up one or more email templates of this type to use when inviting people you find in talent pool searches to your vacancies. If you only have one template of this type, you won't even need to select it - it will just be selected automatically.

Toggle Vacancy, Person and Candidate list pages between list and map view
New menu option to the left of the global search box (top right) to allow these list pages to display in map mode. See Fig. 7 above for an example of the Person list page map view and below for the vacancy list page map view.

Calculate geo-location for candidates, based on their address
The new geo-location functionality also includes capturing a geo-location for candidates, based on any address details they enter.

This release means that the system will now capture data to allow the following functionality: 

  • Display markers on a map to indicate where people live 
  • Support searching for candidates based on distance from a location, e.g. to find candidates for a particular vacancy. 

The new geo-location data will be automatically populated for any candidates who submit a new application or when an update to any Person data occurs for existing candidates, e.g. updating contact details either via the Backoffice or the Candidate portal, etc.

Location-based/Distance from talent pool and candidate searching
Search for people in your talent pool or for candidates, based on distance that they live from your locations.

Custom date ranges now supported on the Dashboard reports page
The date range selector on the Dashboard reports page now allows a custom date range to be selected. Any dates may be selected with a maximum range of 90 days between the two dates.

Calendar section on email page now only shown when required
Simplification of the email sending page to hide the section associated with sending meeting invites unless a box is checked by a user indicating that they want to send a meeting invite.

Larger file sizes now supported in self-service documents
An issue with documents self-service has been addressed to allow documents with larger file sizes to be managed by clients. Previously, self-service configuration changes were failing when users added particularly large documents.

Use of ad hoc documents on personal email templates
Ad hoc documents may now be used when adding personal email templates.

Prevent accidental deletion of the first folder move for a candidate
It is no longer possible to delete the first folder move in a candidate's audit trail. This ensures that candidates can't be effectively left in a state where they are in no folder (which would previously cause errors).

Restrict access to dashboard reports page for users without relevant permissions
The link to the Dashboard page is no longer shown within the Reports tile on the main Backoffice homepage for users who don't have permission to view that page within their security group settings

Views on pages which include custom columns are now editable
Resolved an issue where personal and global views could not be edited via self-service, where a special function column had been implemented, e.g. the LinkedIn column, which displays the LinkedIn icon and does a search on LinkedIn for the person's name.

Enforce agent email address to be completed when adding new agents
The Add agent form in both the Backoffice and the Agency portal will now enforce an email address to be entered, so all agents must have an email address.

Enhancement to client-switching menu to cater for deleted users
For clients or partners with multiple systems, the client switching menu in the Backoffice will now display only clients/systems where the user has an active login. Systems where the user has been marked as deleted will no longer appear in the list at all.

Talent Q online test integration
A minor issue with the existing Talent Q online test integration has been addressed

User portal

Improvement to requisition template management functionality
After editing or adding a requisition template, users will now be returned to the template list again. Previously users were redirected to the "My requisitions" list. 

Candidate portal

Location-based searching - detect candidate's location
The new location-based vacancy search functionality, if configured, features a "My location" icon within the search box. When a candidate clicks this, the location will be automatically set as "Current location". This will be calculated, either based on their IP address or, if on a smart phone, their phone's location services/GPS to find vacancies closest to where the candidate currently is.

Display order of vacancy classifier-driven questions
Question bank application form questions, driven from selections on a vacancy will now appear in alphabetical order on the application form. This is now consistent with the ordering of the questions in the question bank(s) themselves. Previously the order was based on the order the questions were added to the question bank in the first place (when originally setting up the system).

Removal of killer questions from a vacancy, after candidates already answered now supported
Resolved an issue related to in progress (unsubmitted) applications, where a candidate has already responded to an eligibility question, which is subsequently unselected or removed from the vacancy by a recruiter. 

Eligibility questions may now be safely removed at any point, without impacting applications in progress, with no input required by Recruiters.

Display of login link in top navigation where inline registration is configured
In systems where inline registration is configured, the Login link in the top navigation will now be displayed, even after a candidate has clicked the "Apply" button. Previously, this link was hidden whilst the candidate was logged in anonymously (i.e. before they'd registered on logged in as part of the inline registration fields within the application form).

Improvement to inline registration
Addressed a particular scenario with inline registration, which allowed candidates to register without an email address under certain circumstances.

Agency portal

Submitting multiple candidates in a row in the agency portal
Resolved an issue in the Agency portal, which was preventing agents from adding multiple candidates in a row to a particular vacancy. The "Return to dashboard" link will also take an agency user back to the Agency portal dashboard, rather than to the candidate dashboard for the candidate they just submitted.

System Builder - Technical information for Partners

Configuring location-based search functionality
To enable candidates to do location-based searches for vacancies, new configuration is required. 

  1. A relevant location classifier needs to be set to be of type "Location" - new drop-down list field for classifiers in System Builder and the geo-code for each location needs to be assigned - clients should be advised to do this via the classifier self-service functionality (new address look-up and map display functionality exists to support this) 
  2. The relevant location classifier needs to be configured to use the "Location" search type in the Search fields section on the Vacancy searching page 
  3. To display search results in a list ordered by distance from the location entered, the new "Vacancy.Distance" field needs to be added to the vacancy results table and should be set with a default sort order of Ascending and as the only table field with a default sort order. 

N.B. Where the distance column is added to the vacancy search results table, it will only appear when a candidate does a location search.

Viewing error message details in System Builder
An issue has been resolved which was preventing the full detailed error message from being displayed in System Builder, when clicking to view this.

Extended use of {!System.FrontEndUrl} merge field
The {!System.FrontEndUrl} merge field may now be used in all key areas of the system. This merge field may be used to ensure that links and paths work on Test, Staging and Live systems, e.g. links to images or files in the assets folder. This includes: 

  • All application form, brochure, top-up and backoffice pop-up form pages 
  • SJT introduction, summary, question and answer text 
  • Requisition stage read-only and display views 
  • Vacancy feeds 
  • Custom branding 
  • Backoffice configuration, e.g. email/SMS templates

Pre-flight check to warn if a process is configured to run itself
A warning will now be displayed in System Builder if a process has been misconfigured to include a process step to run itself.

New fields for client contract and other key client details
A number of new fields have been added to the System Configuration home page in System Builder to help monitor and manage client contracts: 

  • URL to contract document (e.g. in Sharepoint, Dropbox, etc.)
  • Recruitment type (Experience, Graduate, Campaign)
  • Contract start/end dates
  • Contract term
  • Payment frequency
  • Licensed users
  • Monthly fee

This data is included in the JSON system system deployments overview feed to allow display of this information in other systems: ..../ClientDeploymentInformation.aspx?Json=true

Deletion of top-up form pages and groups
Top-up form pages and groups which have been added in error and/or which have never been used may now be deleted from within System Builder, provided no data from the page has been configured to be sent to the Back office (Candidate or person sub-items).

Improved support for removal of columns used in existing personal views
Blacklisting or removing fields which are used in personal views is now supported, without requiring the development team to remove the legacy columns in order to get a system to publish. The columns will now simply be automatically removed from any views with them selected as part of the publish.

Update to User API
This release addresses an issue with the user API to allow personal identities and preferences to be exported and imported. This now means that all user configuration may be managed via the API.

Use of user role fields in requisition views
User role fields no longer appear in the Capabilities list for Requisitions. This means that these fields can no longer be accidentally selected and don't need to be manually blacklisted (as they are not supported in the Requisitions data grid). Previously, if these fields were not blacklisted and were selected in configuration or in a personal view, this would cause errors.

Configuration upload
This release includes new functionality to allow an entire configuration exported from one server to be added to a different server. There is a new "Import config" option at the top on the System Builder home page. Simply select the .zip file downloaded from one client and you'll have the following options, dependent on whether the config already exists or not: 

  1. If it doesn't already match an existing client/template, a new client/template will be created 
  2. If it does match an existing client/template, you can either overwrite the current client/template (check the box to overwrite); or change the client name to something else and it will create a new client with your new name instead. 

Take care to change the client name if you don't check the box to overwrite another existing system.
