Back office user interface

NEW FEATURE: Self-service Classifier management
It is now possible to enable client super users to be able to manage specified classifiers - Settings > Manage classifiers (under the “Your system” heading). This functionality may be enabled for classifiers that don’t have any fundamental system, form or process logic reliant on specific classifier options.

Examples of how this new function can be used include:

  • Immediately add new options to fields such as cost codes/centres, locations, divisions/departments, without needing to log a change request via Advorto Support
  • Delete and migrate classifier options, e.g. Office A is closing and all work associated with Office A is now going to come under Office B. Office A may be deleted and the system will prompt you to select which other classifier option you want to migrate all the data to (in this case Office B)

This is a feature which will be available to Super Users only and we will be enabling self-management for appropriate classifiers over the coming weeks for all clients.

All changes made are audited and a history of changes made may be seen in a new Settings > Your changes menu (also under the “Your system” heading).

Finally, please note that self-configuration of classifiers will only be possible when there is no other outstanding configuration in progress on your Test or Staging system. A message will be displayed when it is not possible to make changes and the system will not allow any changes to be made.

NEW FEATURE: Self-service Form list management
It is now possible to enable client super users to be able to manage specified form lists (lists used in fixed list fields on any candidate form pages or candidate back-office pop-up pages) - Settings > Manage application form lists (under the “Your system” heading). This functionality may be enabled for form lists that don’t have any fundamental system, form or process logic reliant on specific values.

Examples of how this new function can be used include:

  • Immediately add new options to fields such as media source lists, university lists, any lists on your Offer page, etc., without needing to log a change request via Advorto Support
  • Delete options from lists, which are no longer relevant

This is a feature which will be available to Super Users only and we will be enabling self-management for appropriate form lists over the coming weeks for all clients.

All changes made are audited and a history of changes made may be seen in the new Settings > Your changes menu (also under the “Your system” heading).

Finally, please note that self-configuration of Form lists will only be possible when there is no other outstanding configuration in progress on your Test or Staging system. A message will be displayed when it is not possible to make changes and the system will not allow any changes to be made.

NEW FEATURE: Self-service global email and SMS template editing

It is now possible to enable client super users to be able to manage the content of specific email and SMS - Settings > Email/SMS templates (under the “Documents and Templates” heading). This functionality may be enabled for specified global email and SMS templates.

The functionality will allow:

  • Change of email subject
  • Change of email/SMS body
  • Change/Addition of email addresses to the CC and BCC fields
  • Removal/Selection/Change of email attachments (document must already exist as a global document)

The functionality does NOT support the following:

  • Addition of new global email/SMS templates
  • Change of template names (this is to ensure that clients don’t repurpose a template used in a process for something else)
  • Addition of new attachments not already available in the global documents list

Addition of new global templates and global document management will be enabled in a future release.

This is a feature which will be available to Super Users only and we will be enabling self-management for most email/SMS templates over the coming weeks for all clients.
