Journal entries - quick overview

The journal entry functionality allows Backoffice users to add comments about the candidate. These subsequently appear in the candidate's audit trail.

Where configured, the journal entry icon () is available both on the Candidates page in the Functions column against each candidate and in the bulk action menu, allowing you to record the same journal entry against multiple candidates at once if you want to.

The most common use for journal entries includes:

  • Logging in/out-bound phone calls
  • Recording email communication outside the system e.g. email sent to the candidate or received from the candidate outside the system (copy and paste the email into a journal entry)
  • Entering ad hoc notes

Each journal entry is logged in the candidate's audit trail, along with the details of who left the comment, the type of comment and the time the entry was made. Users with access to the candidate audit trail are able to view the full trail of all the communications with the candidate.

Your system may also include Journal entry templates providing some standard formats for entering information. These templates may be available to everyone (global) or personal only to you. Where templates are available, just pick the relevant one from the list at the top of the page when adding your journal entry.

I cannot see the options mentioned above. What do I need to do do?

You may be in a security group without access to this area - please contact your HR team to allow you more access.

Can I access journal entries from the Hiring Manager/Recruitment portal?

This functionality is currently only available in the Backoffice.
