Improving performance of your system

There are a number of ways of improving performance. One of the best ways of improving the performance is routinely arching old vacancies.

The frequency of archiving vacancies is dependant on your recruitments process and Advorto advises to regularly check for old vacancies and archive them as soon as possible.

Archiving vacancies

The below section explains how to archive vacancies which in turn improves the performance of your system.

Single action (single vacancy)

Please follow those simple steps:

1) Log in to the back office

2) Go to Vacancies tab

3) Locate the vacancy in question

4) Click on the Edit this vacancy icon, usually a small pencil icon located on the right

5) Pleas select Status/Workflow Stage drop down at the top and select the right option - usually Archived (or alternative e.g. Filled or Cancelled)

6) The vacancy will drop to the right folder (named after the status) and all the candidates will be moved out of the main view. Do not worry they will remain against that vacancy but you will have to select All or Archived in the sub-menu (under Candidates tab) to view them

The above action could also be done as bulk in case you have more than few to archive at the same time.

Bulk action (multiple vacancies)

Please follow those simple steps for bulk action:

1) Log in to the back office

2) Go to Vacancies tab

3) Locate all the vacancies in question (you may want either filter that data grid, use global search or just select those you need to archive)

4) Please note: you must have an individual folder selected (from the menu on the left) before you can run the bulk action

5) Once the selection is made a green bar will appear at the bottom of the page

6) Please select Change workflow status from the menu

7) Pleas select Archived (or alternative e.g. Filled or Cancelled) from the next drop down and click the grey arrows to run the action

8) An orange message will appear at the top confirming your choice

9) The vacancy will drop to the right folder (named after the status) and all the candidates will be moved out of the main view. Do not worry they will remain against that vacancy but you will have to select All or Archived in the sub-menu (under Candidates tab) to view them

 

I cannot see some of the options described above. What do I do?

Majority of the options are configurable and some might not appear due to your level of access. Those include:

  • Folder structure not showing on the left
  • Inability to edit vacancy
  • Bulk menu is not showing the right option (Change workflow status)

If any of the above does not show please contact your HR department to allow you more access.

Can I still search across archived vacancies?

Yes, for the best results please make sure you search across all applications - please have All selected under Candidates sub-menu.

Does duplicate spotter checks across all archived vacancies?

Yes, the functionality was designed to check across all applications including those who were archived.
