Application form - short form (with CV)

Registration and eligibility

The following standard options in the "Where did you hear about this opportunity?" field cause the "Please specify" field to be displayed:

  • Referral
  • Job board
  • Other

Questions you configure in your Eligibility question bank and select on a particular vacancy will replace the "Add eligibility questions in Settings > Manage classifiers" text shown on the screenshot below.

Additional questions and Accessibility

Questions you configure in your Additional question banks will replace the "Add additional questions in Settings > Manage classifiers" text shown on the screenshot below. 

For Additional Yes/No + Details questions, the "Please provide details and dates (where relevant)" field will only be displayed when a "Yes" response to the original question is given.

The special requirements fields (check box list and multi-line text box) shown below will only be displayed when a "Yes" response is given to the first question in the Accessibility section.

Training and qualifications - Initial view

Candidates are required to click the various "Add" buttons to add information relevant to their application. The default configuration is that nothing on this page is required, however if a candidate clicks an "Add" button, then they must either add the required information; or click the button to remove the entry again.

Further information

Questions you configure in your Eligibility question banks and select on a particular vacancy will replace the "Add additional questions in Settings > Manage classifiers" text shown on the screenshot below. There are three question bank types used on this page:

  • Additional Yes/No questions
  • Additional Yes/No + Details questions
  • Additional Text response questions (max 250 word response allowed)

Top-up forms

This form is only required and requested if a candidate checks the "I don't have a CV with me now" box on the initial application form.

Equal opportunities

This form is optional and displayed at all stages post submission (or post providing CV if not originally submitted) until a candidate submits it, so the request for this data is disconnected from their original application.

However, candidates are under no obligation to do this, so people who provide no response at all should be considered the same as candidates who provide a "I do not wish to disclose" response.

If capturing data, including an explicit "I do not wish to disclose" response for as many candidates as possible is preferred (as opposed to potentially getting no response at all from some candidates), clients may wish to move all the fields on this form to the initial application form instead, in which case this top-up form may be removed. All candidates would then need to provide this information as part of a longer initial application form.

If the above change is needed, we suggest including these fields on the Vacancy eligibility page to ensure this data is captured for people who fail eligibility questions.

Onboarding - Introduction

There is no default content for this page as it is always client-specific. This page may either be removed altogether or appropriate content added.

Onboarding - Documents + Additional information/pages

This page will allow candidates to download any documents added to the Onboarding section of the Documents page in the Recruitment system by Recruiters or Managers. Candidates may also upload additional required documents here, which will then be available to download from the Documents page in the Recruitment system.

Additional content may be added to this page or further onboarding-related pages may be added as required.

Onboarding - Summary - forms incomplete

The Summary page is optional, but if not disabled and where all mandatory fields have not been filled in my the candidate, it will show a list of all the pages within the Onboarding section, indicating which items are complete/incomplete and the "Submit" button will not be displayed.

Dashboard page

This page is what a candidate sees when they login if already registered. If a candidate did not have an application at the required status, the following sections would not be shown:

  • Your unsubmitted applications
  • Your submitted applications
  • Withdrawn/Other

Note that, any messages related to actions required for any applications, e.g. submit CV, equal opps, book interview or onboarding will also be shown on this page, as displayed on the Application status page, so multiple notification boxes may be displayed.

Job alerts

The options for the default job alerts category fields are manageable by clients via self-service.

The job alerts results are displayed on the vacancy list page, which is filtered to show only jobs matching the candidate's selected preferences.

Talent bank

Dashboard page - Talent banked candidate

An additional link appears on Dashboard page when a candidate is added to the Talent bank.

Talent bank - Profile page - Profile active

Most fields on this page are mapped to the application form, so updating information here will update applications and vice-versa.

In the Talent bank configuration, note that it's possible to have the following variations for each classification field (e.g. the default Location field shown below):

  • Entered/Managed by Recruiters/Managers only, but visible to candidates
  • Entered/Managed by Recruiters/Managers only, but NOT visible to candidates
  • Entered/Managed by Candidates only and visible to Recruiters/Managers
  • Entered/Managed by Candidates AND Recruiters/Managers

Talent bank - Profile page - Profile inactive

When candidates are added to the Talent bank by a Recruiter/Manager, they are automatically opted in. Candidates may choose to opt out if they wish at any time though; or allow their Talent bank subscription to lapse. They would then no longer be found in a Talent bank search.

Application form and further configuration options

  • Add/Remove/Change fields on any application form pages
  • Add additional vacancy-related documents (Job description document included as standard if added to vacancy)
  • Add/Amend/Remove categories for subscriptions options (job alerts, speculative applications or talent bank classifications)
  • Set maximum number of permitted selections for subscriptions preferences
  • Set/Change/Remove max word counts for multi-line test fields
  • Set fields to be mandatory/non-mandatory
  • Set field validation rules, e.g. enforce dates only (date control), numbers only or other specific formats
  • Set min/max number of entries required for repeated fields, e.g. qualifications list, previous employers list, etc.
  • Add/Remove application form pages to the multi-page application form or any top-up forms
  • Enable/Disable Job alerts, Registration of interest or Talent bank modules
